User Statuses and Workflows (Browser)

Learn how to create, manage and utilise user statuses on Loc8 Browser

User statuses and workflows allow system admin users to create custom user statuses, breaks and workflows for their team. This provides the ability to define in-field and browser level operation workflows and keep on-top of what state a user is in.

Configuring User Statuses and Lifecycles

Navigate to the main settings area, then select Workforce from the dropdown menu.

Then select Lifecycles.

You will now be see a list of all the high level lifecycles for User statuses. You can then expand the lifecycle that you wish to add a new status under. Each lifecycle may have one or many "System" statuses. These can be modified, but not deleted.

When creating a new status, you need to add in the status name, and the button label.

Details Icon: This can be updated and will show against the status

Status Name: Name of the status

Button Label: What the user will see when selecting the status (mobile only)

Can pause: User is able to pause time logged whilst in this status (mobile only)

Forms: You can configure an optional form when the user enters and exits this status. (Please note: This is only available if you have the forms add-on for your Loc8 subscription).

Once you have configured the new status and saved, you will then have the option to make it the default status for that Lifecycle.

Once you have saved the status, it will be available in the user status selector.

User Status Workflows

User status workflows allow you to configure the from and to statuses a user is able to select. This is useful for enforcing a particular process that a user has to follow when progressing through their statuses on a job, visit or generally.

To configure workflows, click on the "Workflows" option under Workforce settings.

User workflows can be configured based on user group as well as license type. Otherwise, you can manage it across all users (default)

To configure your workflow, first select the starting status up the top. This is what all your users default starting status will be.

The Y Axis (initial Status) is the starting point, and the X Axis (Final Status) is the end point for the status workflow. You may wish to configure it so that if you start with Clocked on, your next selectable status is "Work is being done" in the below example:

Configuring Breaks

Breaks are used as a sub state for users to say that they are taking a break from work. These are logged separately against the user time logs so you can easily track when they were at lunch, on a tool run or something else.

Breaks require a Name and a Code.

Selecting User Statuses (Browser)

There are multiple entry points to select a user status on Loc8 browser. First option is to click on the user avatar in the main menu and clicking on the status label.

This will then launch the Status selector modal.


You can also select it from the Workforce entry for a user.
