Organising Jobs with the Calendar View

Learn how to track jobs on a calendar to see what's on for your team and plan effectively for any unscheduled appointments

With the Calendar view, you can quickly view the jobs on a daily, weekly, monthly basis for each member of your workforce.

It acts as a smart tool to simplify your planning and scheduling efforts by allowing you to check who is available when and enabling you to schedule or reschedule appointments to get the jobs done on time.

Here is an example of a sample Calendar:

Accessing the Calendar view

The Calendar view is associated with your Jobs workspace.

To open the Calendar view:

  1. Select the Jobs icon on the main menu panel.

  2. In the Jobs workspace, click the Calendar tab next to the List and Map tabs.

Adding Jobs to the Calendar

Initially, you will see no data in the Calendar view. But as you start creating jobs using the CREATE button, even from the List and the Map view, those jobs will start appearing on the Calendar view.

Once created, the jobs are displayed in the calendar views in two ways:

  • The ones that are already scheduled and assigned will be displayed against their associated assignees (the horizontal columns on the left) under the chosen date and time (the vertical columns).

  • The unscheduled and/or unassigned jobs will stack up in the icon shown below:

To add the unscheduled/unassigned jobs to the calendar, simply choose them and then, drag the job tile & drop them on to the timeline against the team member who is to be assigned to the job.

Updating the Calendar

As you will be using the Calendar view extesively to plan and organise jobs throughout the day, the job timelines on the calendar are made floatable so as to easily move them around when viewing the jobs in the Daily, Work Week or Week modes.

Anytime when a job assignee has to be changed or the appointment needs to be updated, you can simply drag & drop the job timeline against the required horizontal (assignees) and vertical (date & time) columns. Doing so will automatically update the job details with the latest appointment and assignment details across all occurences of the job in your system.

The Monthly mode works a bit differently from the Daily, Work week and Week view. To view the jobs in the Monthly mode, double-click on the counter.

This will open up all of the job tiles for that particular day of the month.

Bulk actions on the jobs

You can save time and energy by making updates to multiple jobs at once. In the Monthly mode, when you double-click the job counter to view the jobs, you will find the option to perform bulk actions.

The bulk actions that are available to you are given below:

  • changing job status and job types

  • changing appointment date and assignees

  • changing the start by and due by dates

  • changing the associated custom fields and

  • linking the jobs to a project

  • deleteting the jobs

Updating job details from the Calendar view

If you need to check the job details, just hover over the job.

A job card will be shown to you with all the primary details.

To edit the job details, just double-click on the timeline and the job inspector will open up for you to make any further edits to the fields.

Deleting a job from the Calendar

A job from the calendar will be removed using the usual delete action that you would normally perform from within the job inspector as shown below:
