For jobs that must be completed through a list of tasks, where each task can have a list of sub-tasks to record the results, a ready-to-use task can be applied to capture works of the same nature.
This will not just speed up job creation in Loc8 but also maintain consistency no matter where you are. Such ready-to-use tasks are referred to as Task Templates and they are stored in a Task Library.
A Task Template also allows you to specify the costs and charges for the tasks your team must perform to complete a job successfully, and based on the number of times the task is performed (referred to as Quantity in the app), the costs and charges are automatically multiplied, and they appear as line items when invoiced, that is, if the job uses a charge template such as Charge for labour + tasks or Charge for tasks that considers the task charges to calculate the overall finances of the job.
Adding a Task Template to the Task Library
If your task template uses one or more sub-tasks then make sure the sub-tasks are already defined under the SUB TASKS tab.
To add new sub-tasks, jump to Adding a Sub-Task Template to the Task Library.
STEP 1 Go to the Settings tab and open the Task Library.
STEP 2 Add a task to the Task Library to use it as a template on future jobs.
STEP 3 Fill out the basics of the new task and other specifics such as quantity, cost and charge, and then simply add the required sub-tasks.
STEP 4 Select the sub-tasks that must be performed to complete the task. To add new sub-tasks, jump to Adding a Sub-Task Template to the Task Library.
STEP 5 Specify the trade requirements for the task. Based on the trade requirements specified here, only those members of your workforce who have the matching trades will be eligible for job assignment.
If you cannot find the required trades in the dropdown list, you can create them now in a new window as explained in the article Configure Trades.
Adding a Sub-Task Template to the Task Library
A sub-task is the smallest piece of work that is done to assist in completing its associated task successfully with required data captured against the sub-task as its result. Subtasks are really helpful in leading your team to perform the task in a step-by-step manner, ensuring a comprehensive record of how the task was completed.
STEP 1 Switch to the SUB TASKS tab and add a new sub-task.
STEP 2 Fill out the basic details of the new sub-task, and the type of result the sub-task must record.
There are different result types to choose from depending on the type of data to be recorded. An example of each type is shown below (with the option to enter a default value enabled):
NOTE: Once you have saved the Result Type, you cannot change to any other type, as this will cause inconsistency in real time if the sub-task is already being used in another task.
The sub-task template is ready. You can add it to any task now.
Go back to Adding a Task Template to the Task Library and perform STEP 4 to add the sub-task to a task.
