New and improved

Workforce statuses

Workforce statuses have been introduced to facilitate structured in-field and office time tracking, and to enhance visibility of in-field attendance, user activity and key events throughout the course of the day. Each status is mapped to a lifecycle that represents the real world state of a user, and most statuses also support some advanced functions given their lifecycle

Lifecycle - Offline

Supports multiple statuses that represent a user who isn't currently available to work (i.e. On leave, sick, or at home). Standard statuses include

  • Away

  • Home

  • Custom statuses supported (see below)

  • Advanced features

    • Per-status entry form option for non-Home statuses, presented when selecting status

Lifecycle - Standby

Supports a single status, and cannot be modified. Any user who has clocked on for the day, or has finished their time in another status (i.e. checked out from site, finished driving) will automatically enter the status of Standby, ready to advance to the next status.

Lifecycle - Internal

Supports multiple statuses that represent a user who is working off site (i.e. Office work). There are no standard statuses

    • Per-status entry form option, presented when selecting status

Lifecycle - Travelling

Supports multiple statuses that represent a user who is travelling. Standard statuses include

  • Drive to site

  • Custom statuses supported (see below)

  • Advanced features

    • Per-status entry form option, presented when selecting status

    • Job selection when selecting status

    • Visit selection when selecting status

Lifecycle - On site

Supports multiple statuses that represent a user who is on site. Standard statuses include

  • On site

  • Custom statuses supported (see below)

  • Advanced features

    • Per-status entry form option, presented when selecting status

    • Job selection when selecting status

    • Visit selection when selecting status

Workforce status selection behaviour / status actions

On browser, status selection is predominantly an administrative function where

  • Statuses are selected explicitly

(Coming soon) On mobile, from the home screen, the user is presented with the following actions

  • "Clock on"

    • Present when in the status of Home

    • Selection moves user into the status of Standby

  • "Start travelling"

    • Present if not in a Travelling status

    • Selection presents user with available Travelling statuses as per configured workflows (see below)

    • Subsequent selection of a status presents user with the option to select a job, and complete a form if configured

  • "Check in to site"

    • Present if not in an On site status

    • Selection presents user with available On site statuses as per configured workflows (see below)

    • Subsequent selection of a status presents user with the option to select a job, and complete a form if configured

  • "Check out"

    • Present if in an On site status

    • Selection returns user back into the status of Standby

  • "Other"

    • Selection presents user with available Internal statuses as per configured workflows (see below)

    • Subsequent selection of a status presents user with the option to complete a form if configured

  • "Clock off"

    • Present when not in the status of Home

    • Selection moves the user into the status of Home

(Coming soon) On mobile, from a job, the user is presented with the following actions

  • "Start travel"

    • Present if not in a Travelling status for the current job

    • Behaviour as defined above

  • "Check in to site"

    • Present if not in an On site status for the current job

    • Behaviour as defined above

  • "Check out"

    • Present if in an On site status for the current job

    • Behaviour as defined above

Visibility of workforce statuses

On browser, workforce status and history is available

  • Against user avatars in the workforce area

  • Against user avatars on a job, if the user is Travelling or On site against that job

  • Under job history > Workforce activity

  • Under workforce history > Activity

Creation of time logs from workforce status activity

On the browser, work logs (on-site time and travel) can be added to jobs based on any historical workforce activity recorded against a job. For example, if user A

  • Selects the status of Drive to site and selects the job, and then after 45 minutes

  • Selects the status of On site for that job, and then after 2 hours

  • Checks out from the site

On the browser, user B will be able to add a 45 minute travel log and a 2 hour on-site time log for user A, with a single click.


Custom workforce statuses and workflows

Expanding on the standard workforce statuses, custom workforce statuses and workflow schemes can be configured to control which statuses are available to users

  • Configure custom statuses in the lifecycles of Offline, Internal, Travelling, and On Site

  • Configure an optional entry form per status, presented when the user selects the status

  • Configure workflows to control which statuses are available based on the the current user status, user type or user group

    • When changing a status, the options will be filtered for the current user based on their user type or group

  • Whilst workforce statuses are broadly available, these features requires an add-on. Please contact Loc8 support for more information.

Workforce breaks / pauses

Expanding on workforce statuses, break types can be configured to track workforce activity outside of busy time

  • Configure one or more break types

  • Configure which statuses support pausing

  • When in a status that supports pausing, the user will be presented with a pause button that will present the available break types

  • This feature requires an add-on. Please contact Loc8 support for more information.


Certification improvements

Workforce certifications have been updated

  • Certification types can now be defined and reused when recording certifications against users

  • Automations can now trigger when a certification reaches its Valid from or Valid until date, making it easier to automate reminders before a certification starts or expires

  • Certification automation rules can be filtered by certification type, issuer, reference and user

  • Certification details can be used in automation message templates

Preventative maintenance improvements

Weekend handling has been updated for preventative maintenance schedules, giving more control over how schedule events behave when they fall on a weekend.

  • The previous Avoid weekends option has been replaced with separate weekend options, supporting Allow, Skip or Avoid

  • Skip omits weekend schedule events, while Avoid moves them to another day

  • Schedule frequency refinements can now be added and edited more reliably when defining schedules

Automation improvements

Several improvements have been made to automations.

  • Job message templates can now include all job assignees, including name, work phone, mobile and email, making it easier to send the attending person's details to the recipient

  • Update asset flag automation actions can now add a comment, either as plain text or from an asset message template

  • Job and asset automation rules can now set a date / time custom field to the time the rule runs

  • As noted above, workforce automations can now trigger when a certification reaches its Valid from or Valid until date

Browser improvements

A number of browser components and workflows have been updated.

  • The agenda now includes a colour toggle between Show Job colours and Show Visit colours

  • Custom fields of type Asset now show asset number, name and reference

  • The Files tab now shows a clearer message when trying to delete attachments associated with other entities

  • Legacy (unused) job statuses of "From Quote" and "From Service Provider" have been removed

Bug fixes

  • An issue that could cause an error when adding an email address to a customer contact has been resolved

  • An issue that could cause the forgotten password flow to fail on some tenants has been resolved

  • MP4 uploads are now recognised more consistently with the correct file type

  • An issue that could stop the global search close button from closing the pop-up consistently has been resolved

  • An issue where the close button in filter search could close the entire filter dropdown has been resolved

  • An issue that made the Assignable checkbox appear misaligned in Safari has been resolved

  • An issue that could prevent the correct project selection indicator from being shown in job bulk actions has been resolved

  • An issue that cleared default field values when changing job type has been resolved

  • An issue that prevented default values from being populated on new entities has been resolved

  • An issue that could prevent the User group field from being shown in the workforce wizard for contractor portal users has been resolved

  • An issue that caused the "Custom Report" main menu option to disappear has been resolved

  • An issue has been resolved that exposed some financial data to users without permissions in the job history area
