Job status workflows

Workflow schemes can now be configured to control which statuses are available when changing the status of a job

  • Control which statuses are available based on the the current status

  • Control which statuses are available based on the current user type or group

    • When changing a status, the options will be filtered for the current user based on their user type or group

    • If the user has admin privileges, they can override the workflow restrictions using the Override workflows option upon status change

  • Workflows can be defined globally for all job types, or can be defined at the job type level

  • This feature requires an add-on. Please contact Loc8 support for more information.

Job types

Job type configuration options have been expanded

  • Job types now support nested types, up to one level deep, for more effective filtering and reporting

  • Job types now support a default priority for new jobs

  • If the add-on is enabled, job types now support Workflows

Visits

Several improvements have been made to visits

  • Visits now support statuses, including

    • Draft, Open, In progress, Complete and Cancelled

    • New visits are typically created as Incomplete, then requiring an optional subsequent user action to mark them as In progress, Complete or Cancelled

  • The definition of Previous and Next visit on a job has changed, where

    • Previous is now the most recently completed visit, instead of simply the most recent visit by date/time

    • Next is now the oldest incomplete visit (i.e. most overdue), instead of simply showing the next visit by date/time

    • This definition change applies to all contexts, including the job workspace, calendar/agenda, and job automations

  • When managing visits against jobs, they are now grouped in three separate tabs

    • Incomplete, ordered from oldest to newest (i.e. most overdue first), including visits in the statuses of Draft, Open and In progress

    • Complete, ordered from newest to oldest

    • Cancelled, ordered from newest to oldest

  • A new bulk Schedule visit action has been added to jobs, which supports

    • Creating a new visit for the selected jobs

    • Rescheduling the oldest incomplete visit (i.e. most overdue) instead of creating a new one

      • If a selected job has no incomplete visit, the bulk action falls back to creating a new visit

  • A new View status history option has been added to the visit inspector

Automations and messages

Several improvements have been made to automation and message related workflows.

  • Job automations now support Job assignee, Visit assignee and Next visit assignee conditions

  • Assignee conditions now support clearer comparison behaviour for matching one or more assignees

  • New automation triggers have been added for job messages and job comments

  • Message based automation conditions now support sender and subject or content matching

  • Message based template variables now support message subject and comment content

  • Automation generated messages can now be viewed against the initiating entity. For example, if an automation triggered a message against a job, that message is now visible in the messages tab on the job inspector

  • HTML tables are now supported in outbound emails

Files and attachments

Several improvements have been made to file and attachment handling.

  • A new Association filter has been added to the files area on the job inspector to make it easier to see where the attachments came from

  • Form generated images and attachments are now associated to the entity that initiated them

  • File upload and download handling has been improved in supported attachment workflows

  • Multiple file download handling has also been improved

Browser improvements

A number of browser components and workflows have been updated.

  • The contact list selector has been improved to match the earlier behaviour used in the previous browser implementation

  • These contact list selector improvements affect assets, sites, customers, invoices and quotes

  • Date custom fields now accept dd/mm/yyyy input

  • Date handling is now more consistent between imports and custom field entry

  • Where a time is supplied with a date, that time is retained

  • Where no time is supplied, the date defaults to 12:00am

  • Pending task and explore icons have been updated

Bug fixes

  • An issue that prevented attachments from being added during a visit status change has been resolved

  • An issue that caused errors when using global search in jobs has been resolved

  • An issue that prevented PDFs from being sent from the share workflow has been resolved

  • An issue that caused Add activity actions to be missing in the quote wizard and quote inspector has been resolved

  • An issue that prevented the edit option from being shown in the activity inspector has been resolved

  • An issue that caused the Has accrued charges filter to not return the expected results has been resolved

  • An issue that caused errors when bulk updating quote custom fields has been resolved

  • An issue that prevented bulk deleting jobs from working correctly has been resolved

  • An issue that prevented Tech basic users from editing the description and reference fields in the job wizard has been resolved

  • An issue that caused URL custom fields to continue rejecting valid values after an earlier validation error has been resolved

  • An issue that caused values entered into some custom fields to affect other fields in the same field group has been resolved

  • An issue that caused errors when opening form templates has been resolved

  • An issue that caused errors when approving a quote through public view has been resolved

  • An issue where changing a user to the same status did not update related details has been resolved

  • The Email already in use message shown during user creation has been improved
