We know how important it is for you to be able to easily share your work and collaborate with other users. Whether you’re working on an important project, or just want to show the relevant people in your workforce what you’re working on, our sharing and collaboration features make it easy for you.

Sharing an entity such as a job, quote, invoice or an asset

With a few clicks, you can share any of your Loc8 entity with other users. To do this, you simply need to locate the entity you want to share, and click the share button. You can then enter the email address of the people you want to share with, choose the mode of sharing whether as a link, PDF or directly accessible in the Loc8 workspace and hit "Send".

TIP: It’s important to note that when you share the entity as a link, it is viewable by anyone with the link.

Make sure you share the link carefully, to avoid giving away any sensitive information.

Sharing an entity as a link

If you would like to show the main highlights of an entity without them getting access to the Loc8 system, you can share a link to the entity with that person.

For example, a link to the job will show details about the work done, appointments and assignees, and the assets involved.

There are two ways to share the link to an entity - see how it is done with a job as an example.

OPTION 1: Copy the link and share it on any platform

Under the Share and Export icon, select the button Public link next to Include. Then scroll down to the end of the dialog box and click Copy Public link . This will copy the link to your clipboard.

You can now share it on any platform.

OPTION 2: Send the link inline with an email

Under the Share and Export icon, select the button Public link next to Include. Now when you type in the message body and send out to the recipient, the link to the job will be automatically inserted into the body of the email.

You can apply the same steps for a quote, invoice or an asset on their inspectors.

Sharing a job inspector in your Loc8 system

This is a great way to collaborate with the people connected to your Loc8 system - be it your team members, contractor admins or customers.

Anyone who has a user in your Loc8 system can view the shared job directly on their Loc8 account.

Under the Share and Export icon, select the Private link button.

Now when you type in the message and send it out to the recipient, the link to the job inspector will be automatically inserted into the body of the email. So when the recipient clicks the link, they will be redirected to their Loc8 account where they will see the shared job right away.

You can apply the same steps for a quote, invoice or an asset on their inspectors.

Sharing job as a PDF document

Here are the two ways of sharing the job as a PDF:

OPTION 1: Exporting the job as a PDF

Under the Share and Export icon, select the PDF button. Then scroll down to the end of the dialog box and click Export PDF.

This will download the job as a PDF onto your local machine. You can now access it from the folder where it was downloaded and share the PDF document on any platform.

The job details that are presented in the document will be the same as you would see in its web view (which was using the Public link as discussed above).

OPTION 2: Send the job as a PDF attachment to an email

Under the Share and Export icon, select the PDF button. Now when you type in the message and send it out to the recipients, the PDF will be automatically attached to the email.

You can apply the same steps for a quote, invoice or an asset on their inspectors.

Adding comments to a job

You can use comments as a tool to track / record communications, facts and details about the job. This greatly helps the team members involved in the job to look for additional notes and comments from their peers to gauge and understand the ongoings of the job better.

To do so, click the Comments icon on the job inspector and enter your message.

Click ADD COMMENT and this will instantly post the comment within the Messages tab in the job inspector.

The example below shows a job in full inspector with the comment now accessible in the Messages tab of the job:

The Messages tab, in general, shows all the communications relevant to the job - such as emails, system-generated notifications, including comments.
