Create a Project for Jobs

Learn how to achieve timely completion of large volumes of work through Projects where you can see a collective view of all the related jobs

At times when the jobs pile up and it becomes increasingly difficult to stay organized, you may find yourself wanting to associate multiple jobs to a single project.

Using Projects, you can group together jobs that are related to each other in some way with respect to being a part of a bigger assignment. This way you can closely track and monitor those jobs within the project.

Viewing jobs associated with a project and bulk linking jobs to a project are some of the features to make your business process easy, so you can maximize your efficiency and reduce wasted time.

Creating a Project

STEP 1 Select the Projects workspace from the Jobs and Projects menu option on the left panel of your screen.

STEP 2 In the Projects workspace, create a new project.

Enter the details about the project, mainly the name of the project, and click CREATE to complete the project creation.

The new project has been created with a project ID. Now let's see how to link jobs to this project.


Linking Jobs to the Project

In the project, under the Jobs tab, you have the option to either create new jobs for this project or link existing jobs.

To link existing jobs, choose Link Jobs and select the required jobs from the list as shown below:

NOTE: A project and a job have one-to-one relation due to which you will find only those jobs in this list that have not yet been associated with any project.

Click APPLY to complete the project-job linking.

You can now view all the selected jobs under this project as shown in the example below:

At any point, if you need to add a new job to this project, simply click +Job.

In the new row, add the new job details.

A new job will be created and automatically get linked to the project right from here.


Bulk Linking Jobs to a Project

STEP 1 To get started, identify the jobs that need to be added to a project.

On the Jobs -> List view, select multiple jobs to assign to the project at once.

When you click the checkboxes next to a job, the bulk action panel will open up.

STEP 2 Scroll down the panel and choose SELECT PROJECT. The existing projects will come up.

Choose the project you would like to link the jobs to and click APPLY.

Confirm if you would like to go ahead with linking the jobs to the project as shown below:

NOTE: If you have selected jobs that are already linked to some other project, then those jobs will be skipped. This is because a project and a job can have only a one-to-one relationship.

In the example below, a message appears showing the number of jobs that have been linked to the project. You can see that from the selected jobs, only 3 jobs were added to the project, the remaining jobs were skipped.


Viewing Filtered List of Jobs for a Project

When you need to view a specific job or a group of jobs associated with the same project. Click Explore to view the available quickviews.

These quickviews will take you to a new tab window and show you all the jobs in the Jobs workspace that are linked to the particular project.

In a new tab window, you will be taken to the Jobs workspace with a filtered view of the jobs linked to the project.

In the example shown below, the Project [projectID] filter is turned on.

Once saved, the quickview will come up in the Project inspector so you can specifically view the filtered list of linked jobs every time.

In the example below, a user-created quickview appears in the list for viewing and exploring the jobs linked to that project.



Changing the Project Status

By default, a project is created with an Open status. When all the jobs have been completed, that essentially means you've achieved your project goal and so you can change the status to Closed.

Please note that Projects cannot be assigned as you would do in a job. Rather, projects must be monitored by a person responsible in your team. You can specify this person as the Owner in the Project profile.
